A heavy bulletin is media-rich content such as videos or courses (without assessment). The heavy bulletin needs to be distributed via the content deployment process before it is available to the intended audience.


To publish a heavy bulletin, there are 3 high-level steps that need to be completed:

  • Step 1: Complete the Bulletin form on the Management Portal.
  • Step 2: Initiate the heavy bulletin (content) deployment process.
  • Step 3: Publish the bulletin.


Step 1: Complete the Bulletin form on the Management Portal


Complete all the fields on the Bulletin form but do not link to the heavy bulletin in the Training Module field or publish the bulletin.


From the left-hand menu, go to Support > Bulletin Admin.


Scroll to the bottom of the Bulletins list and click CREATE.



The Bulletin form will load. Complete the required fields:


Subscriber: Select Shoprite from the drop-down list.



Category: Select the category in which the bulletin will appear for the learner. Choose from:


  • RAPID Course – for RAPID courses only.
  • Retail Varsity – for general learning and development communication.
  • Operational – for communication to the branches.
  • Marketing – for communication from the Marketing department only.


Language: Select the language(s) that the bulletin will appear in.



Note: Angola (Portuguese), Mozambique (Portuguese), Madagascar (French) and DRC (French) must always receive bulletins in English and the in-country language.


Note: if you do not select all three languages (English, French and Portuguese), the bulletin will only be available to learners that have that specific language set on their profile. For example, if you only select English, learners that have their profile set to French or Portuguese will not see the bulletin.


You can now specify the intended audience of the bulletin by restricting it to specific Countries, Brands, Divisions, Designations and/or Sites.


Important notes about the audience selection:


You can specify more than one selection within each box.


You can remove a selection by clicking the X next to it.


You do not need to add a selection in every box. For example, you could just select a Brand (Shoprite) and then two Designations (Controller (Fruit and Veg) and Controller (Bakery). This would allow only Fruit and Veg Controllers and Bakery Controllers within Shoprite branches to see the bulletin regardless of the Country, Division or Site they are at.


Each selection you make builds an AND statement. That means the audience selection becomes narrower and more specific. For example, if you select a Brand (Usave) and a Division (Western Cape) and a Site (Super Usave Atlantis) this will display the bulletin to learners that meet all 3 selections (Usave AND Usave Western Cape AND Super Usave Atlantis). If, however, a site/branch is selected that is not in the in the Western Cape (e.g. Usave Cathcart) the bulletin would not display to any learners.


The options will dynamically generate based on your previous selection. For example, if you choose Angola in the Country box then the Brand, Division, Designation and Site options will change to only show those that are available in Angola.


Tick the Select All box to add all the available options to the box.


Country: Select the Country by clicking in the text field to display the drop-down menu or you can type the Country name.


 

Brand: Select the Brand by clicking in the text field to display the drop-down menu or you can type the Brand name.


 

Division: Select the Division by clicking in the text field to display the drop-down menu or you can type the Division name.


 

Designation: Select the Designation (Job) by clicking in the text field to display the drop-down menu or you can type the Designation name.


 

Site: Select the Site /Branch by clicking in the text field to display the drop-down menu or you can type the Site name.


 

You can now specify additional details for this bulletin in the Bulletin Details section:


Bypass SMS: Always ensure that this option is ticked. This ensures that the system does not send an SMS to notify learners of the bulletin.



Expiry Date: Select a specific date you would like the bulletin to no longer be visible to learners. If you don’t want the bulletin to expire, set the date to be 9999/12/31 (high date).



Description: Enter the title of the bulletin as it appears to the learner in their bulletin list. You must enter a description for each language you selected at the beginning of the form.



Bulletin Type: For heavy bulletins, select Training Module from the drop-down list.



Forced Bulletin: Tick the Forced Bulletin box if you wish to force this bulletin on learners. Forced bulletins will appear as a pop-up and learners will not be able to carry on with their training until they have acknowledged the bulletin.



Note: Once you have published the bulletin you cannot removed the forced bulletin flag. It will remain forced until the bulletin expires.


Click the SAVE AND CLOSE button.



Step 2: Initiate the heavy bulletin (content) deployment process, following the Shoprite standards for file naming conventions.


For instructions on how to initiate the content deployment process, please follow the Shoprite business processes that have been documented.


The FUEL team will refer to the Bulletin form populated in step 1 to know which sites to deploy the heavy bulletin to.


Once the heavy bulletin has been deployed to 90% of the sites, follow step 3 to publish the bulletin.


Step 3: Publish the bulletin


In this step, you link the Bulletin form to the deployed heavy bulletin (content) and then publish it to make it available to learners.


From the left-hand menu, go to Support > Bulletin Admin.


Find the bulletin you created in step 1 and click on the EDIT button.



The Bulletin form will open. Scroll down to the Training Module field and select the name of the English heavy bulletin from the drop-down list.


Note: always link to the English content and not the French or Portuguese content, as FUEL will do the required association to the in-country language packages.


Tick the Published box and then click SAVE AND CLOSE. This will make the bulletin available to the intended audience.
